Job Summary The job administers programs and fundraisers designed to engage the donor community, increase participation, and advance the objectives of Medicine and Biological Sciences Development (MBSD), the broader University and divisional initiatives. Works with volunteers, donors, faculty, and University administration to ensure the successful execution of fundraising activities. Responsibilities The Assistant Director of Outreach and Volunteer Engagement (Assistant Director) plays a vital role in nominating, managing, and stewarding leadership volunteers to support the fundraising efforts of Medicine and Biological Sciences Development (MBSD). This position focuses on cultivating relationships with volunteers whose interests align with organizational priorities, and ensuring an engaging, rewarding volunteer experience that strengthens donor engagement. The Assistant Director supports the Director in staffing the MBSD Leadership Volunteer Councils and serves as a project manager for the team’s activity. They facilitate internal meetings and hold conversations with MBSD Relationship Managers to advance prospect and volunteer strategies. They organize Council business meetings and committee meetings including meeting scheduling and liaising with faculty and leadership speakers. In partnership with the Director, the Assistant Director will develop and implement a comprehensive communication plan for all MBSD Leadership Volunteer Councils, and individual communication plans for each Council. Manages delegate Council nomination and renewal process. Develops new member orientation materials. The Assistant Director will plan, facilitate and execute the logistical management of business meetings, social dinners, and committee meetings for all MBSD Leadership Volunteer Councils. The scope of this work may include scheduling, venue selection, and logistical oversight. T he Assistant Director contributes to fundraising efforts by planning and expertly executing fundraising events for the MBSD Leadership Volunteer Councils. Manage events logistics, budgets, and expenses including venue selection, catering, invitations, negotiating pricing and vendor contracts, and onsite execution. They will ensure events are produced on deadline and within budget limits. Manage event reporting and data, including but not limited, to registration tracking and management, dashboard and executive summary creation, and Phoenix CRM data input and coding. Identifies, cultivates, and trains volunteers and alumni leaders to help with committees and design programs to engage students and alumni in meaningful ways to advance objectives of the alumni association and broader University. Establishes and maintains metrics of success and makes sure those are present in departmental strategic plans, goals setting, and the annual budget. Performs other related work as needed. Minimum Qualifications Education: Minimum requirements include a college or university degree in related field. Work Experience: Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline. Certifications: Preferred Qualifications Experience: Volunteer management experience. Event management experience. Experience working in a large hierarchical organization; experience in healthcare or academic setting; and an interest and knowledge base in health care economics, medical research, and health care policy. Preferred Competencies Outstanding interpersonal, presentation, and communication skills, characterized by the ability to listen, to speak, and to write well, with a strong commitment to customer service. Creative and resourceful with strong problem-solving skills and willingness to seek out, coordinate, and appropriately disseminate information to key stakeholders. Ability to work in a fast-paced, deadline-driven, highly collaborative environment and a demonstrated experience working with and through internal and external partners. Ability to deliver strategic, comprehensive, high quality, and accurate work on deadline. Strong project management skills and the ability to manage multiple priorities simultaneously. Ability to manage confidential information with discretion, tact, and attention to detail and following data policies. Success working as a team member to meet a defined goal, within a finite time period and budget. Ability to work on multiple projects simultaneously, set priorities, and meet deadlines. Ability to work well within a team of highly motivated individuals. Experience with Salesforce CRM. Proficiency in Microsoft Office Suite. Willingness and ability to attend meetings and events outside of business hours. Excellent attention to detail. Working Conditions Office environment (hybrid schedule).
