visit: .Job SummaryThe Associate Director of Operations and Events
serves as an active member of the Booth Student Life team. This
position will be responsible for the successful execution of
several community, student hosted, and Student Life hosted events.
Program participation ranges from 30 to 10,000 attendees, with
additional student and staff volunteers assisting with program
delivery. Additionally, leveraging project management expertise,
the Associate Director plans, executes and evaluates program,
project, and process effectiveness and drives both individual and
team continuous improvement efforts. Beyond events, this role will
participate with inter-department teams and support staff
operations.Responsibilities
- Collaborates with the Student Life team to develop and
implement programs and events for Booth student groups, the Booth
Community, and external partners. Includes event logistics,
marketing of events, and program evaluation of each event upon
completion.
- Coordinates and implements event logistics; researching and
assisting with vendor selection including negotiating vendor
contracts, preparing event budgets, processing and reconciling
expenses, and preparing financial reports for large scale events
such as Convocation and Orientation.
- Applies project management expertise in designing and executing
a variety of internal processes and systems, such as student group
management, calendar, registration, and evaluation systems.
- Monitors the general department and Convocation email inboxes
and student event listservs; professionally responds to all
inquiries and/or routes emails to others as appropriate.
- Coordinates Orientation logistics; working directly with the
Director of Student Life who is responsible for Orientation
strategic planning.
- Reconciles all student group, department, and inter-department
money from CampusGroups, the student group management system. Pulls
money collected in BoothGroups and compares with the credit card
payment system; processes internal billing invoices to transfer
revenues and expenses to the appropriate accounts using the
UChicago Oracle FST system.
- Submits payment requests, purchase orders, reimbursement
requests, and other payment needs in the University's Oracle FST
system.
- Liaise with Senior Director of Student Life and Dean of
Students with Graduate Business Council (GBC); manages payments,
refunds, and reimbursements; assists with group purchases; and
provides support with GBC events throughout the year.
- Manages the Master Calendar process, ensuring calendar is
current and Booth partners are abiding by calendar policies.
- Supervises and implements large operations initiatives for
student on-boarding, including but not limited to, student ID
cards, student nametags, student table tents, annual student
handbooks and student photo book.
- Assists with staffing events when necessary for Student Life,
Booth Wellness, International Programs, and Joint Degree Programs.
Requires working nights and weekends when needed.
- Supports the front desk operations team with reception coverage
as needed, including handling phone calls, directing student
traffic, and assisting walk-ins with general inquiries and
questions.
- Guides students and staff to develop and implement activities,
programs, and initiatives related to student life, and/or community
involvement.
- Markets student activities programming throughout the year.
Develops and implements protocols for evaluating the effectiveness
of programs.
- Performs other related work as needed.Minimum
QualificationsEducation: Minimum requirements include a college or
university degree in related field.Work Experience: Minimum
requirements include knowledge and skills developed through 5-7
years of work experience in a related job
